5/16/07 Meeting Minutes
Location: Baker High School Room 2405
Attendees: Shelly Clark, Tina Solomon, Linda Gribble, Martha Passamonte, Vicki Earle, Ellen Lauko, Kathy Meyer, Cindy Fryer, Jackie Caselle, Marcia Lamirande, Julie Crowell, Michelle McKenna, Carrie Sayler, Noel Penafeather
Items discussed:
1) Tax Exempt Status—The fee to file for a tax-exempt status will be $700 and is non negotiable. The fee is based on what we take in vs. our expenses. The request is filed with the State. We must keep everything on file and be prepared to produce our records if we should be audited. Upon submission, a filing can be approved or disapproved. If disapproved, we can re-file with necessary corrections. When we receive the tax-exempt status, we can use the ID # to make purchases. The fee to file will be paid by the Booster Club. Tina introduced the motion to accept, seconded by Vicki Earle, all agreed and the motion was passed. Noel Penafeather, the Booster Club’s new treasurer, advised that the program designed by Mike Candee will need to be revised based on the State’s criteria. Tina will meet with Noel and Mike to finalize.
2) Ireland Games (6/3/07 at William Smith College)—The varsity players and a few of the younger players with varsity experience will be given the opportunity to participate. We will leave from the high school at 11:00 AM, warm up and practice on the turf at 12:00 PM (we are unable to get field time before then for practice) and play the game at 1:00 PM. The game will be just for fun. It takes 1 hour to get to Geneva, it may be a good idea to bring a light snack or sandwich to eat in the car. We will have ice cream sundaes after the game. It was suggested that we tailgate after the game including the players from both teams, bringing subs from Vicky’s to be paid for by the Booster Club. This suggestion was approved by all present. Ireland has 14 players and 2 coaches, B’ville will have 17 players. A game cannot be played outside of our regular season unless approved by NYS. Therefore we cannot use any B’ville equipment, fields or bus. We will need people to drive to William Smith. We will purchase shirts at Nami’s—red shirt with black lettering, cost of $6.50 each (the players will pay for their own shirts). Also, a small gift will be given to the players from Ireland—either a pin or lanyard. The lanyards cost $2.75 apiece. Tina will e-mail the kids to let them decide on the gift.
3) Ice Cream Social—will be held on 6/11/07. Jackie Caselle advised that Byrne Dairy is donating all 4 tubs of ice cream. We will need soda. We should have enough paper products with the supplies that Marcia, Jackie, Ellen and Shelly have from prior events and the concessions. We will have use of the cafeteria from 5:00 to 7:30 with the Ice Cream Social being held from 6:00-7:00.
4) Bottle Drive—will be held on 9/15/07.
5) Pizza Party—Tentative dates are 9/11/07 or 9/12/07
6) Clothing –Vicki Earle advised that the clothing has been ordered. We are going with dark gray as black is not an option. We are using Larry Collins again. The prices will be about the same as last year except the sweatshirts will be more expensive. We may also be able to purchase Under Armour cold gear mock turtlenecks for about $40.00
7) Pre-season Training—Tina is sending a request to Bruce Quimby to reserve the use of the weight room for summer training. Tina’s plan is that the girls run on Mondays, use the weight room on Tuesdays and Thursdays and drills on Wednesdays after the Youth League. The girls should also be running or doing something on their own on Fridays, Saturdays and Sundays. Tina is looking at a 6 week program, beginning after 7/4, to include all levels. The information on this program will be included in the packet to be available at the Ice Cream Social.
8) Summer Camps—Tina contacted the SU coach to ask her to place the B’ville girls together. Tina also invited her to the B’ville camp so that the players can get to know her. Friday would probably be the best day. Play Circle at CNS is another camp option if someone cannot make the SU camp. The B’ville camp will be held July 30-August 3 from 8:30 AM to 11:00 AM. The Youth League will be held July 11,18,25and August 1 from 5:30 pm to 6:30 PM. The cost is $50.00 (no stick provided) or $60.00, which includes a stick.
9) Indoor—Tina will contact Jones Road about a winter league. However, the walls and curved walls could be an issue.
10) Tournament—Bruce Quimby approved a field hockey tournament when we have a turf field.
